Job Summary
To ensure that the highest standards of customer service are carried out, ensuring the smooth flow of patients through the hospital whilst carrying out administrative, reception and navigation duties. To act as the first point of contact for patients, visitors and staff, providing an efficient and effective reception service, projecting a professional, helpful manner. Providing a high level of administrative support within a busy Treatment centre environment whilst projecting a professional, helpful manner, ensuring complete confidentiality at all times.
Key Responsibilities:
To receive all patients attending the clinic in a welcoming manner – acting as an ambassador for the hospital.
Update any patient information as necessary, including GP details, addresses and mobile numbers
Electronically arrive patients on the computerised tracking system and navigate to the relevant area of the Treatment Centre.
Update Trust’s patient databases.
To process requests for Interpreters and/or Hospital transport services
To participate as a member of the team, liaising with the public and hospital staff in all areas on a daily basis, ensuring a positive patient experience.
Participate in any initiatives within the Department to improve working practices.
Navigate the patients to the clinical area using the electronic tracking system, working very closely with the nursing and clinical staff to ensure the smooth flow of patients for Outpatient clinics.
Manage clinic and book appointments using the computerised Patient Administration System (PAS), E-track
Distribute forms relating to external surveys to patients.
To answer questions from patients and colleagues from within the department and other departments in a pleasant and helpful manner, demonstrating good customer care skills.
Pass all medical case notes of patients that ‘Did not attend’, cancellations and late arrivals to the clinician/nurse for assessment and action as appropriate.
Keep patients informed of any delays by updating the electronic tracking system.
Support and uphold good teamwork.
To undertake any other clerical duties as from time to time be deemed necessary to ensure the smooth running of the departments.
Education, Qualifications and Skills:
NHS experience
Administrative experience
Experience working in a busy and demanding customer-facing role
Appreciation and awareness of the Data Protection Act
Ability to work within a team in a multidisciplinary service, maintaining an excellent working relationship with staff at various levels
Excellent oral and written communication and interpersonal skills
Ability to work independently and take responsibility for day-to-day workload
Ability to work under pressure and to deadlines
Ability to prioritise
